Lilly Pool and Spa Services collaborated with IT Edge to digitize their Pool Closing process, creating a user-friendly online form that simplifies customer interactions and automates backend operations. This solution enhances accuracy, offers secure payments through Stripe, and ensures efficient workflow management, ultimately improving operational efficiency and customer experience.

Lilly Pool and Spa Services partnered with IT Edge to streamline their Pool Closing process by transforming a complex, multi-step service into a user-friendly digital experience. The goal was to simplify customer interactions, improve accuracy, and automate backend operations, all while maintaining a professional, seamless experience for homeowners.

The project involved taking the detailed Pool Closing services, including required homeowner preparations, optional filter maintenance, winter cover services, and seasonal chemical treatments, and translating them into a step-by-step online form using WordPress and WPForms. The form guides customers through the selection process, providing clear instructions and conditional logic to ensure proper completion and prevent errors. Optional services are presented contextually, helping users understand what is included and any additional requirements.

Two versions of the form were created: a paid version and a non-paid version. For the paid version, WPForms was integrated with Stripe, enabling secure, instant payment processing at the time of submission. All submissions and payments are automatically recorded in QuickBooks, giving Lilly Pools accurate, real-time accounting and reducing manual entry.

This digital solution provides a scalable, efficient workflow for managing seasonal pool closings. Customers can now navigate complex service options easily, select and pay for services online, and receive confirmation without the need for follow-up calls or paper forms. For Lilly Pools, the system minimizes administrative work, reduces errors, and provides actionable data on service requests and payments.

The result is a streamlined, modern solution that enhances customer experience, improves operational efficiency, and supports Lilly Pool and Spa Services’ commitment to professional, reliable service. By integrating form navigation, secure payment processing, and accounting automation, IT Edge delivered a comprehensive, end-to-end solution that connects customers directly with the business workflow in a seamless and intuitive way.
